- 4 weeks outPublish the application form; invite investors by sector and stage; confirm the venue and the pitch format.
- 2 weeks outClose applications; shortlist; tell every applicant the decision; share the shortlist with investors who registered.
- 1 week outSend the agenda; brief volunteers on the scanner; prepare a printed backup list for the door.
- The day beforePost a live update on the pass with timings, venue directions and the pitch order.
- On the dayScan passes at the door; post live updates; remind attendees to check Who's here and their Top 5.
- The morning afterSend the event report to your team and partners, and nudge investors on pending meeting requests.

What is the most forgotten item?
Telling rejected applicants. Do it the same week you shortlist.
How long before the event should applications close?
About two weeks. That leaves one week to shortlist and tell every applicant, and one week for passes, the agenda and the volunteer briefing.
How do I make investors stay for networking?
Give them a reason: founders in their sectors and stages, with meeting requests ready to accept.
